We’re hiring: Could You Be Our Next Office Administrator?

We’re looking for a proactive and organised Office Administrator to join our friendly team. If you are someone who enjoys working in an office environment and looking for a new opportunity we would love to hear from you.

  • Location: Medway City Estate, Rochester, Kent
  • Hours: Monday – Friday, 9am-5pm
  • Reports to: Director
  • Start Date: February 2026
  • Salary: Range £23k – £28k per year, dependent on experience
  • This is a fully office-based role. Remote or hybrid working is not available.

We are seeking an organised, approachable, and proactive Office Administrator to help keep our office running smoothly and support the wider team. This hands-on role is ideal for someone who enjoys variety, takes initiative, and wants to help develop strong experience across administration, communication, compliance, and office operations.

You will be involved in everything from general office administration and credit control support to health and safety, organising supplies, and contributing to company events and environmental initiatives.

Working Environment

  • Professional, positive approach when dealing with visitors, suppliers, and customers.

Key Responsibilities

 Office & Administration

  • Assist with the smooth day-to-day running of the office.
  • Respond to calls and emails promptly and professionally.
  • Help maintain security by controlling visitor access.
  • Manage incoming and outgoing post and courier deliveries.
  • Keep the office areas fully stocked, organised and functioning at all times.
  • Prepare information and documents for staff meetings.
  • Provide support with basic credit control tasks, including issuing customer statements and payment reminders, while ensuring deadlines are met.
  • Ensure documentation and records are accurate and up to date.
  • Support the organisation of company social and charity events.

Team & Communications

  • Help coordinate company communications and notices.
  • Provide occasional support with social media or marketing admin.
  • Contribute to a positive, collaborative team culture (everyone plays their part including making teas and coffees).
  • Work on developing and maintaining good working relationships.

Health, Safety & Compliance

  • Keep first aid kits, PPE, and fire safety supplies up to date.
  • Help organise annual health checks and wellness initiatives.
  • Assist with office safety checks and risk assessments.
  • Support environmental and sustainability efforts within the business.

Skills & Qualities

  • Highly organised with strong attention to detail.
  • Ability to prioritise tasks and manage time effectively.
  • Confident problem-solver who can work independently once trained.
  • Excellent communication and interpersonal skills with staff at all levels and external partners.
  • Professional, reliable, and punctual.
  • Good numerical accuracy (for credit control support).
  • Demonstrates competence in Microsoft Office, shared/cloud storage, phone systems, with the ability to acquire new system skills as required.

 Requirements

  • Previous office experience in a customer-facing or administrative environment is advantageous.
  • Due to the location of the office and limited public transport links, the role requires reliable independent travel to and from the workplace.
  • Employees are required to uphold high standards of personal hygiene and appearance to ensure a professional and respectful office environment.
  • Confidentiality is essential; applicants must manage sensitive information appropriately.
  • Eligible to work in the UK.

Development & Support

  • Full training will be provided on all systems and processes.
  • You will have regular check-ins and feedback sessions to help you gain confidence in the role.
  • This position offers excellent all-round office experience, developing skills in administration, communication, customer service, organisation, and compliance.
